REDUCING FILE SIZE FOR EASY UPLOAD – Option 1

To upload files in to the workspace it is ideal that you reduce the size of the file to minimize upload time. The large your file the longer it will take to upload. There are varies of ways in which you could reduce the size of the file you’ve scanned. Follow the instruction below for option 1 and you can have large scanned document on the workspace in seconds.  

If you’re using Vista (recommended)

CutePDF Writer Download and Installation

  1. Download CutePDF writer from http://www.cutepdf.com/products/cutepdf/Writer.asp
  2. This will allow you to convert word, .jpg, .bitmap or any other picture format to PDF which will allow reducing file size during printing to PDF.
  3. Install CutePDF writer in your computer and any other computer you’re likely to use to upload documents from to the Shaqodoon workspace.

Please note to convert a document to PDF, first open the file and print the file in your normal way. After printing the document you now need to select the printer; here is where you need to chose CutePDF Writer. (See Figure 1)

To reduce a picture file size from a scanner

  1. Locate the picture you want to convert to PDF and reduce size
  2. After you locate the file right click on the picture and then click on the ‘Print’ option (See Figure 2)
  3. After clicking on the print option, ‘print picture’ window will appear. On the top left corner of the window select ‘CutePDF writer’ on the top right hand corner of the same window select print quality, chose ‘72x72’. Note the higher the quality the larger the file size will be. 72x72 quality is fine for Shaqodoon program.
  4. When done click on the ‘Print’ button. (See Figure 3)
  5. After clicking on the button, ‘Save As’ window will appear. Choose the location where you want to save the file in to and then click on the ‘Save’ button.

The process of converting a picture or a document to PDF is complete. You will notice if you compare the file size of the previous picture format the new PDF format there is a big difference, invoice.jpg = 285kb and invoice.pdf = 85kb over 60% deduction on size.

             6.       Now that you’ve reduce the size of you scanned documents in to PDF you can easily upload it in to the workspace with instant speed.
